NUSTIAN Privacy Policy

1. Collection: What data we are collecting?

We collect the following basic personally identifiable information (PII) about NUST alumni in the US who are interested in being part of NUSTIAN:

• Full Name
• NUST affiliation / graduating degree program
• Current geographical region in the US (to the granularity of city)
• Basic contact information (e.g., email, phone)
• Public professional profile (e.g., LinkedIn)
  • Current US affiliation (e.g., current company, university) / Area of expertise

Some additional information may be needed for NUSTIAN office bearers or individuals interested in a formal role within NUSTIAN:

• US legal permanent residence or citizenship status to assess if they can be assigned certain responsibilities / avoid liability on part of NUSTIAN

Individuals can share additional details as needed:

• Resume (e.g., when seeking academic or professional guidance)

Donation information

• If NUSTIAN members participate in fundraising campaigns, information about the transaction/donation amount may be maintained strictly for the purpose of disseminating receipts to the individual and discharging audit obligations for NUSTIAN as a non-profit entity.

Moreover, we may take photos/videos during NUSTIAN events that are shared on NUSTIAN social media outlets. Individuals can choose not to be part of the photograph/video or similar content by reaching out at NUSTIAN Communication

Individuals can request an update to their information or request certain parts being omitted. Certain resources may not be available to the individuals in such cases (e.g., communication via WhatsApp or similar channels that require phone number if a phone number is not provided). If an individual is not interested in being part of NUSTIAN, their record will not be maintained.

2. Use: What is the purpose of collecting the data?

We use the data in accordance with NUSTIAN stated objectives. For instance:

• Creating and maintaining active regional chapters in the US
• Connecting alumni for providing mentorship and guidance as needed
• Reaching out to alumni via different communication channels (e.g. Social media, email, phone) for sharing information (e.g., success stories) or other administrative activities related to NUSTIAN (e.g., elections, fundraising)
• Creating and sharing profiles of successful alumni (alumni will give explicit consent by providing relevant details for their profiles)

We also create aggregate statistics that do not include any PII, such as:

• NUST alumni in US / per region
• Success metrics (# of alumni mentored)
• Financial information (e.g., total donations, total donations per region, # of donors)

3. Access Control: Who will have access to the data?

Basic information about NUSTIAN office bearers (area of specialization, current position, region) will be accessible to all NUSTIAN members.

In general, access to NUSTIAN database will be restricted to the NUSTIAN Executive Council. Data about NUSTIANS in a geographical region will be shared with regional leads. Data about NUSTIANS who want to be part of specific subgroups will be shared with respective group administrators. 

NUSTIAN can use existing platforms / social media for creating regional / interest-based groups (e.g., WhatsApp). The access to data about group members will be subject to the privacy policy of the underlying platforms in such cases.

Any other sharing of data is on a need to know basis or with direct consent from the NUSTIAN member.

4. Storage and Retention: Where and how long will we store the data for?

We will maintain the aforementioned data for all active NUSTIAN members in access-controlled folders/documents till the duration of their membership. If an individual is no longer a member of NUSTIAN, or no longer wants to be a member of NUSTIAN, they can request deletion of their data from the database or deletion of any social media content that is solely about them by explicitly identifying the content. Any financial transactions related data may still need to be retained to comply with respective laws in such cases.

Note: We do not collect data about dependents. We only collect data about NUST alumni who have already graduated from NUST.
